Summary
Reporting directly to the Director of Finance, the Assistant Director of Finance will be responsible for the efficient running of the department in line with Hyatt International's Corporate Strategies and brand standards, whilst meeting employee, guest, and owner expectations.
The Assistant Director of Finance is responsible for supervising and overseeing the accounts payable, receivable, ledger, credit, and all related areas.
Main DutiesOperational
- Ensures that each section of the Accounting and Finance Department is managed efficiently, maximizing utilization of technology.
- Reviews all Purchase Orders to ensure that the correct charts of account codes are used.
- Maintains and programs Master Keys for the hotel, and keeps good working order of the interfaces.
- Safeguards all contracts, leases, insurance policies, and all legal and financial documents.Income Audit
- Supervises the review and approval of the daily Income Journal.
- Reviews all spot checks such as cash counts conducted by the income auditors.Accounts Payable
- Reviews invoice postings.
- Reviews weekly payment proposals and checks manual international payments.
- Checks and approves all Petty Cash claims/reimbursements.
- Ensures that the AP ledger is clear.Accounts Receivable/Credit
- Reviews AR for clarity.
- Participates in monthly credit meetings.
- Approves all rebates, write-offs, and transfers.
- Reviews the daily In-house Guest Credit and deposit ledgers.General Accounting
- Prepares month-end Journal Vouchers.
- Reviews all Balance Sheet accounts ensuring schedules are prepared on time and accurately.
- Participates in the reviews of the financial results after closing.Finance Management Support
- Assists the Director of Finance in monthly financial reporting and analysis.
- Assists in compiling budgets and forecasts and provides historical data or support details to Department Heads.
- Assists with the preparation of special statistical reports required by local management or the Area Office.
- Handles all problems of the accounting office except those referred to the Director of Finance.Customer Service
- Supports the hotel's focus on service excellence by training and assisting other departments.
- Ensures that Finance personnel provide appropriate professional, courteous, and caring service to internal customers and visitors.
- Handles all guest and internal customer complaints and inquiries in a courteous and efficient manner, ensuring problems are resolved satisfactorily.
- Maintains positive guest and colleague interactions and good working relationships.
- Maximizes employee productivity through multi-skilling, multi-tasking, and flexible scheduling to meet financial goals and guest expectations.
- Focuses on improving productivity levels and managing utility/payroll costs within acceptable guidelines.
- Ensures new technology and equipment are embraced, improving productivity.Personnel
- Assists in the recruitment and selection of Finance employees, ensuring adherence to hotel guidelines and a competency-based approach.
- Oversees the punctuality and appearance of all Finance employees, ensuring compliance with uniform and grooming standards.
- Maximizes the effectiveness of Section Heads by developing their skills and abilities through training, coaching, and mentoring.
- Plans and implements effective training programs for employees in coordination with the Training Manager and Departmental Trainers.
- Encourages creativity and innovation among employees, recognizing their contributions to the operation's success.
- Ensures all employees understand and adhere to rules and regulations.Other Duties
- Knowledgeable in statutory legislation in taxes, Forex, employee, and industrial relations.
- Ensures high standards of personal presentation and grooming.
- Required to multi-task in various aspects of operations as advised by managers.
- Exercises responsible management and behavior, positively representing the hotel management team and Hyatt International.
