The Coordinator will report to the Director of International Projects. The unit is responsible for the design, management and delivery of immersion modules for partner universities. The primary responsibility of this position is to coordinate short immersion programs for IE Partner universities.

Your role as Coordinator will involve: Program creation Atenea platform.Scheduling of academic sessions/confirming with faculty.Request and coordinate the allocation of classrooms and other facilities required for the onsite program. Maintain ongoing communication with internal stakeholders to ensure seamless planning and execution.Request access to the documentation campus and set-up campus online for each program.Prepare invitation letters and visa requirement information for students and support students in registration process on IE Platforms.Liaise with program coordinators at partner schools.Track student registration for each program and send welcome emails to all program participants with respective links to register for access to program details and documentation.Oversee all catering and restaurant bookings, ensuring timely collection of invoices and initiation of the payment process.Coordinate program-related company visits, cultural activities, and mobility between IE campuses in Madrid and Segovia.On-site support for professors and participants during program week, including cultural visits, formal meals, and company visits.Prepare certificates of completion for participants and manage program evaluations. Ensure that all program documentation + presentations is available on IE campus.Prepare expense reports and program evaluation reports.Follow-up with partner university as needed.
