As a Functional Project Coordinator in Vaccines and Immune Therapies, you'll play an important role in implementing our scientific strategy to have a positive impact on changing patients' lives. The Project Coordinator is a member of both Early- and Late-Stage drug project clinical teams and is responsible for administrative and project support in partnership with each Global Clinical Head. This position plays a highly visible, critical role in successfully delivering innovative medicines to patients through the drug development process.
Duties & ResponsibilitiesCross-Functional Clinical Project Team Management and DeliveryPartner with V&I Clinical Development, Clinical Operations, and project managers to lead elements of the drug project plan, project sub-teams, and other cross-functional initiatives where project management and administrative support are needed.Coordinate team meeting logistics (e.g., scheduling, room bookings, VC setup, slide sharing, meeting minutes and actions, etc.).Lead and coordinate logistics relating to face-to-face meetings.Support the team in developing key documents, including information related to project plans and governance interactions with high quality, according to required timelines.Proactively ensure the set-up and oversight of information management plans (e.g., SharePoint management, storing of minutes, presentations, etc.) according to prescribed information management processes.Ensure communication processes are in place and maintain project information and integrate/distribute appropriately to partners, team leaders, and members (e.g., team changes, achievement successes, etc.).Create and maintain distribution lists.Assist Clinical Development Business Support Coordinator in the onboarding of new clinical project team members.Support project management processes such as drafting of meeting agendas, minutes, and maintenance of action and decision logs.Team support, administration, and logistics in connection to major and material study readouts and regulatory submissions.Provide technical and process support to drug project teams in generating reports and in data visualization (e.g., preparing monthly reports, supervising achievements and goals, risk management, etc.).Produce accurate and properly formatted documents using Microsoft Office (Word, Excel, PowerPoint).Effectively lead other special projects and duties as assigned such as smaller scale teams or departmental initiatives.Independently and proactively resolve issues and challenges relating to general and administrative requirements of the team.Identify issues and facilitate problem-solving, contingency planning, and decision-making.
