We know fun, and we always have a team event on our calendars, so are you ready to join us?RoleAs a Guest Operations Coordinator you will be responsible for the entire lifecycle management of bookings, from initial booking to post-check-out, ensuring a seamless and efficient process that meets Ukio's high standards of service and customer satisfaction.
As the primary point of contact between all stakeholders—including the Guest Team, Sales Team, Strategy Transformation, IT and Finance—you will coordinate efforts across departments to ensure that all bookings are managed smoothly, on time, and to the satisfaction of all parties involved.This role requires a proactive, organized, and communicative individual who can drive processes forward while fostering strong relationships with key stakeholders.
You will be expected to maintain high standards of coordination and communication, ensuring that all bookings are executed seamlessly from start to finish.ResponsibilitiesBooking Management:- Oversee and manage the entire lifecycle of bookings from initial booking to post-check-out, ensuring all processes are completed accurately, efficiently, and on time.- Serve as the main point of contact for all stakeholders involved in the booking process, including the Guest Team, Sales Team, Strategy Transformation, IT, Finance, Marketing, and Global Operations.- Coordinate with relevant teams to ensure that all necessary preparations, services, and follow-ups are completed as required for each booking.Stakeholder Coordination:- Develop and maintain strong relationships with key stakeholders to ensure alignment and effective communication throughout the booking process.- Act as the central hub for communication between teams, ensuring that all parties are informed of booking status, requirements, and any changes.- Collaborate closely with the Sales Team to understand customer needs and expectations, ensuring these are met throughout the booking lifecycle.Operational Excellence:- Work as part of a team to ensure all bookings are handled efficiently, while taking ownership of the overall process to ensure that tasks are completed in a timely and accurate manner.- Identify and resolve any issues or bottlenecks in the booking process to ensure a smooth and seamless experience for guests and stakeholders.- Monitor key performance indicators (KPIs) related to booking management and provide regular reports to the Operations City Manager, identifying areas for improvement and implementing solutions as needed.Process Improvement:- Continuously review and refine booking processes to improve efficiency, reduce errors, and enhance customer satisfaction.- Work closely with the Strategy Transformation team to implement new processes, tools, and technologies that support efficient booking management.- Develop and maintain documentation for all booking-related processes, ensuring clarity and consistency across teams.Relationship Management:- Foster good relationships and alignment with key stakeholders, including Sales, Strategy Transformation, IT, Finance, Marketing, and Global Operations, to ensure a collaborative approach to booking management.- Communicate effectively with stakeholders to manage expectations and ensure all parties are informed and aligned throughout the booking lifecycle.Administrative Support:- Provide administrative support related to booking management, including maintaining booking records, updating systems, and ensuring all relevant information is captured accurately.Reporting Analysis:- Generate and maintain reports on booking performance, identifying trends, areas for improvement, and opportunities for increased efficiency.- Provide insights and recommendations to the Operations City Manager and other key stakeholders to enhance booking processes and outcomes.About you- Bachelor's degree in Business Administration, Operations, or a related field.- 1+ year of experience in operations coordination, booking management, or a related role.- Fluency in English and Spanish.- Strong organizational and multitasking skills, with the ability to manage multiple bookings and stakeholders simultaneously.- Proactive problem-solving abilities and a strong sense of ownership and accountability.- Experience working with cross-functional teams and managing complex processes.- Familiarity with booking management software or tools is a plus.- Strong analytical skills, with experience in reporting and data analysis.- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.Ukio's life benefits- Private Health Insurance with SANITAS- Flexible retribution with Payflow- UKIO Anniversary gift- Team buildings and office events- Transportation card (transportation coverage for roles that have traveling needed for their work tasks according to the internal policy)- Breakfast at the office, fruits, nutrition bars, free coffee/tea and popcorn!- An amazing internal culture and no dress code!- International working environment with many different nationalities!Ukio's culture promotes and values each individual's contribution.
