We are seeking a highly organized and proactive HR Specialist and Facilities Coordinator to join our team in Spain. This role will focus on managing essential HR functions, ensuring compliance with Spanish labor laws, supporting employee relations, and coordinating office facilities. The ideal candidate will handle payroll, compliance related HR topics, and employee experience initiatives while overseeing workplace safety and facilities management.This role reports directly to the HR Manager Southern Europe and Head of finance Spain.This is a one-year position with the potential for renewal based on performance and organizational needs.Key activities:Payroll & Benefits AdministrationManages the complete payroll process and ensures timely payments to employees.Administers employee benefits such as insurances and flexible remuneration packages.Prepares and checks mandatory social security and withholding tax declarations.HR AdminDelivers high quality, detailed HR documentation as required (employee's contracts, contract amendments, employment declaration etc.)Manages all employee's soft and hard copies.Manages employee medical requirements.Manages employee holiday queries.Maintains our internal channels and distribution lists up to date.Takes care of statistical surveys, as necessary.Risk Prevention & SafetyEnsures compliance with legal requirements for workplace safety, risk prevention, and accident management.Organizes mandatory health and safety training sessions and schedules medical checks for employees.Oversees workplace safety infrastructure and ensures proper measures are in place.ComplianceEnsures proper application of the collective agreement and HR policies.Manages labor law compliance, including inspections, legal documentation, and addressing employee queries.Handles work permits and visas for foreign employees, ensuring compliance with immigration laws.Training & DevelopmentOrganizes employee training programs based on company needs.Manages FUNDAE funds and ensures proper documentation for training subsidies.Employee RelationsSends internal communications on local HR topics.Acts as the point of contact for employees and managers regarding HR-related queries and issues.Supports employee engagement and experience initiatives, including event organization when required.HRIS Management and HR ReportingMaintains HR data accuracy in the HRIS (Human Resources Information System).Updates employee records and ensures compliance with data protection laws.Prepares and delivers HR reports related to headcount, payroll, training, and employee queries.HR ProjectsLeads initiatives related to the Gender Equality Law and ensures the company meets its obligations.Provides support to the HR Manager where required.Facilities CoordinationManages the day-to-day office facilities to ensure a safe and efficient working environment, in Madrid and Barcelona office.Coordinates office maintenance, supplies, and infrastructure to meet employee and operational needs.Communicates and negotiates with landlord for Madrid and Barcelona offices.Minimum Requirements:Minimum 3 years of HR experience in a fast-paced commercial environment.Experience working with an HR Information System, ideally Workday.Degree qualification.Ability to plan, prioritize and deliver multiple tasks simultaneously.Positive, "can do", flexible attitude.Fluent in Spanish and English written and spoken.Home based in Madrid.
