Job Responsibilities
1. Lead Project Execution and Process Management
End-to-End Project Management : Oversee and manage critical projects to ensure they meet quarterly goals set by the CEO and COO. Coordinate efforts across departments to keep everyone aligned.
System Setup and Improvement : Create efficient, scalable processes using tools like Notion, Google Sheets, and project management software. Focus on clear timelines, accountability, and results.
Process Improvements : Regularly refine our methods to ensure projects stay on schedule, within budget, and achieve the COO's vision.
2. Oversee Operations and Track Performance
Maintain KPI Standards : Set up regular checks (daily, weekly, monthly) to ensure our processes and KPIs meet company standards.
Core Metrics Management : Take ownership of key operational metrics, like order accuracy, customer retention, inventory, and customer support efficiency.
Documentation and Adaptation : Keep detailed records of workflows and make changes as needed to ensure smooth operations.
3. Drive Improvements and Work Autonomously
Ownership of Projects : Take full responsibility for your projects, balancing independence with clear accountability to company standards.
Identify and Act on Improvements : Set up feedback systems, optimize processes, and keep productivity high.
Risk Management : Proactively tackle minor issues to prevent bigger ones, keeping operations flexible and adaptive in a high-growth environment.
4. Foster Collaboration and Accountability
Implement Clear Responsibility Matrix : Establish a system for tracking roles and responsibilities for team members and partners.
Mentor and Support Teams : Guide internal teams and support freelancers, ensuring clear and productive communication.
Be a Cultural Ambassador : Reflect Emporia's values in all interactions and help spread our culture across the team.
Requirements
5+ years in operations management, project management roles in e-commerce or consultancy.
Experience with Notion, Google Sheets, and other project management tools (e.g., Asana, Monday.com).
Proven success managing multi-regional projects and ensuring alignment with strategic goals.
Familiarity with platforms like Shopify, Gorgias, and Google Workspace, or willingness to learn quickly.
