Job Description: Tasks & Responsibilities: Liaise with Management, Finance, HR, IT Departments for the daily activities of the office.Maintain and keep a trusting communication with the external stakeholders of the office (services, providers, equipment ordering, etc.).Organization of business trips for company's staff (transport booking, accommodation logistics, daily agenda for visitors, needed documents, etc.).Ensure employee's handover (meal cards, equipment handover, etc.).Assure the office is properly maintained, well-functioning and monitor office supplies, including but not limited to: paper, pens, printer ink, onboarding gifts, anniversary gifts, weekly groceries, etc.Perform receptionist duties when needed, e.g., photocopying, scanning, and filing appropriate documents; answering the office phone as needed.Schedule and plan meetings and appointments. Note-taking during the meetings as needed.Assist with ad-hoc tasks.Coordinate with external printers to procure flyers, business cards, and material for conferences that Barcelona editorial staff will attend.Work with the internal marketing, design, and journals team to check the contents of flyers and conference materials.Ensure good stock of conference materials in the office and that conference attendees have all the appropriate items.Coordinate with Journal Marketing Assistants to ensure that correct and complete information is provided to conference attendees.Requirements: Bachelor's degree in Economics, Business Administration, or any related field.English fluency.Desirable previous experience in a similar role.Excellent organization and time management skills.Demonstrable communication skills.Experience with Word, Excel, and Google Sheets.Ability to multitask and work with self-sufficiency.Ability to take initiative.What we offer: The opportunity to develop a professional career within an international company leader in its field.International friendly working atmosphere.Competitive salary and benefits.Central location in Barcelona.Diversity & Inclusion: About MDPI Spain:
