Your challenges:Ensuring the efficient organization functionality of the local SSO by coordinating multifunctional tasks (Matrix) and local administration.Providing general administrative support to the management and Ibérica employees; the office manager reports to the Sales Zone Director.Some responsibilities of the office manager require certain powers of attorney and signatures to perform specific tasks related to communications and coordination with public institutions.Perform common office operations such as travel calendar management, event and meetings planning and execution to ensure organizational effectiveness and local communication.Responsible for local facility management including building maintenance, working safety, waste management, building security, car fleet, and other services.Being the first contact for local matrix management for all site-related questions.Managing site-related contracts like WEEE register, tenancy agreements, insurances, energy providers, etc., as well as the renewal of services and approval of payments.Locally distribute important information such as corporate announcements, vacancy postings, and procedures according to corporate and local (legal) regulations.Locally support the sales zone director in all relevant administrative topics.Locally support Area HR Business Partners for staff-related local procedures to be maintained, including absence and sickness, communications, payment of expenses, etc.Support local payroll procedures by managing data supplied to the external payroll providers, tax, and legal advisors.Locally support Finance Controlling functions if required, interfacing with the local controller (we don't have a local controller).Prepare documents in legally required local languages in cooperation with the Corporate Functions and the management.Support management of the local warehouse and demo equipment.Responsible for local Emergency Health Management.Support function for the Quality Manager.Your expertise:Professional experience in Office Management, Assistance/Secretary, and/or general administrative role.Experience in collaborating closely with all relevant departments (Management, Finance, Human Resources, Quality, etc.
