We are looking for a Finance and General Administration Specialist for our Madrid office to support our team and enhance the efficiency of our financial and administrative operations.
This is a key role in ensuring the smooth execution of financial processes, sales administration, and general office management. The ideal candidate will bring previous experience in similar roles within multinational environments, excellent attention to detail, and the ability to manage multiple tasks effectively.
This position is part-time, requiring 5 hours per day.
Main Responsibilities:Sales Administration:Prepare and issue invoices to customers with precision and ensure timely deliveryFollow up on invoices and ensure collection in a timely mannerAdministration/Finance:Assist in calculating and monitoring the company's cash flowCollaborate with the finance team in Geneva for electronic payments, bank reconciliation, and transfersTrack accounts receivable/payable, vendor payments, and intercompany invoicingHandle payroll and supplier payments through the banking systemOversee employee expense claims and credit card reconciliationSupport monthly closing activities, including inventory reconciliation and bank payments updatesInternal Control System (ICS):Ensure all financial controls are properly implemented and followedPrepare and present regular financial reports to managementGeneral Administration:Provide administrative support across various site activitiesEnsure that all contracts and administrative documents are managed according to company policiesCompliance and Audit:Ensure internal policy compliance and financial regulationsSupport internal and external audits and documentation preparationIdentify and mitigate financial and administrative risksMinimum Requirements:Bachelor's degree in Accounting, Finance, or a related fieldFluent in English and Spanish; knowledge of German or French is an advantage2-3 years of experience in similar roles, preferably in a multinational environmentProficient in the use of office automation and accounting software tools; experience with ERP systems is a plusExcellent communication and organizational skillsAbility to work independently and as part of a teamAttention to detail and strong analytical skillsAbility to handle multiple tasks and priorities in a dynamic environmentProactive and efficient problem-solving abilitiesAvailability to work part-time (5 hours per day)Benefits:Opportunities for professional development and growthDynamic and multicultural work environmentCompetitive benefits and compensation package
