The Facilities Manager will lead a team to ensure management of the day-to-day client activities for assigned property/facility by being the on-site key point of contact for key stakeholders and/or client. The role will have responsibility for service quality, helpdesk task resolution, maintenance and operations, contract services, safe working practices, purchasing of material, equipment & supplies and site budgets accuracy.What this job involvesOverall responsibility of the management of the Barcelona COE workplaceManage direct reports as required adhering to JLL standardsManagement of key M&E monthly / quarterly deliverables for their siteEnsuring site specific statutory and PPM schedules are adhered to and reported to the Senior/Regional FMEnsure Corrigo is reflecting the correct scheduling dataClient/Stakeholder ManagementProactively engage stakeholders to ensure that on site client's expectations are metOn-site key point of contact for Facilities in the client's premisesVendor Management, Attend monthly meeting with vendors to review service delivery, KPIs, monthly reporting requirements, portfolio changes communicated and general feedback sessions to ensure they are providing services accordinglySupport JLL sourcing lead to ensure vendors are up to date on contractual changes, review KPI % to ensure fee at risk is being reviewed and managedEnsure FM associated consumable stock levels are managed accordingly and within budgetTrack visitor volumes using client system on a weekly basis and report to the Client / RFMMonitor and report against metrics such as waste volumes, occupancy levels and energy consumption as requiredSupport Finance Management / Cost Control / ProfitabilityActively work to ensure that the site's financial operations are meeting or exceeding targets and control requirementsEnsure the provision of a safe working environmentEnsure compliance with statutory regulations on fire, health and safety standardsDay to day site Operations ManagementRecommend continuous quality improvement practices and implement Industry Best Practice operations via Innovation processReview existing operations regularly to reduce costs and improve operational standards coordinating closely with the RFM and Finance ManagerPossess proficient space planning skills to optimize layout, functionality, and efficiency of the workplace environments, considering factors such as attendance, ergonomics, and regulatory requirementsAssist in the development of guidelines and strategies to ensure compliance with Jones Lang LaSalle's business conductAchieve Key Performance Indicators and Service Level AgreementSound like you?To apply you need to be able to demonstrate the following skills and experience:Ideal ExperienceExperience in facilities management, building, business or other related fieldExcellent people skills and ability to interact with a wide range of client staff and demandsKnowledge of Occupational Safety requirementsStrong PC literacy and proven ability to manage daily activities using various systemsDemonstrated experience with continuous improvement initiatives (highly desirable)Knowledge of vendor management for specialized servicesStrong understanding and knowledge of critical facilities and of technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)Proven capacity to understand and interpret commercial contractsBudget management and financial analysis skillsOther Personal CharacteristicsStrong communicator – Good presentation skills and possesses strong verbal & written communication skills also an active listenerPassion for quality – has an eye for detail to make sure the best delivery of servicesSelf-motivated; confident & energeticAbility to effectively deal with stressful situationsFlexible – able to adapt to rapidly changing situationsStrongly goal-oriented – able to focus on meeting all performance targetsIs a team player – able to cooperate and work well with others to meet targetsProven ability to initiate and follow through with improvement initiativesExhibits honesty & trustworthinessOpen to new ideas & willing to challenge status quoIf this job description resonates with you, we encourage you to apply even if you don't meet all of the requirements below.
