Position Overview: The Executive Assistant to the COO provides high-level administrative support to the Chief Operating Officer by managing schedules, communications, and key operational tasks. This position requires exceptional organizational skills, discretion, and the ability to anticipate the COO's needs. The role involves coordinating meetings, handling confidential information, overseeing projects, and ensuring the smooth operation of the COO's office.Key Responsibilities:Manage and organize the COO's calendar, ensuring efficient use of time.Schedule meetings, conferences, and appointments.Coordinate travel arrangements (domestic and international), including flights, accommodations, and itineraries.Ensure the COO is prepared for meetings by compiling necessary documents and briefings.Serve as the first point of contact for the COO's office, managing phone calls, emails, and correspondence.Draft, proofread, and edit internal and external communications.Prioritize and respond to correspondence on behalf of the COO.Prepare agendas and materials for meetings.Attend meetings with or on behalf of the COO, taking detailed minutes and following up on action items.Manage relationships with key internal and external stakeholders.Support the COO in tracking progress on key strategic initiatives and projects.Conduct research, gather data, and provide insights to assist with decision-making.Oversee the coordination of cross-departmental projects when necessary.Handle expense reports, invoices, and other administrative tasks.Perform various office duties as needed to support the COO and the executive team.Handle sensitive and confidential information with the utmost discretion.Maintain professionalism in all interactions, ensuring the COO's office operates smoothly.Job Qualifications:Bachelor's degree in Business Administration, Communications, or a related field is preferred.Advanced certifications in executive administration are a plus.Minimum of 1 year of experience as an Executive Assistant, preferably in support of C-level executives.Experience in a fast-paced, high-demand work environment.Strong ability to manage multiple priorities, projects, and tasks simultaneously with excellent time management.Excellent verbal and written communication skills; ability to communicate clearly and concisely with all levels of the organization.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), scheduling software, and project management tools.High level of integrity and confidentiality in dealing with sensitive matters.Availability to work flexible hours and travel occasionally as required.Familiarity with the industry or sector in which the COO operates is a plus.Job Type: Full-timeBenefits:Paid trainingSchedule:8 hour shiftSupplemental Pay:13th month salary#J-18808-Ljbffr
