We are looking for an Executive Assistant for our Real Estate Investment Banking team based in Madrid.
What this job involves
Diary management across multiple time zones, ensuring a proactive / forward planning approach to enable preparation and focus time is considered and diary clashes are actioned in a timely manner.
Inbox management (where required)
Organising complex international travel including meeting and transport arrangements, confirming accommodation and producing detailed itineraries (visas/tests where applicable).
Ensuring finding the most cost effective and sustainable options, in line with JLL T&E policy are booked.
Dealing with telephone calls and emails from clients and colleagues in a professional manner and escalating any issues.
Developing and maintaining effective working relationships with clients (externally) and colleagues (internally).
Organising meetings and booking the relevant rooms and equipment.
Presentation support; formatting, reworking, proofreading etc.
Providing wide ranging administrative assistance.
Support with project work (as applicable).
Attending meetings and recording minutes/actions (to follow up the actions where necessary).
Proactive / forward planning to ensure prep time is in advance of client meetings.

Great verbal and written communication skills.
Ability to work independently with minimal supervision.
Team player who works with a Partnership mentality and deals effectively with colleagues and clients.
PC Literate – understanding of how to use the technology as a tool.
An above average knowledge of IT Microsoft applications i.e. Word, Excel, PowerPoint.
Intuitive nature and desire to learn and progress.
Understands and appreciates the importance of using discretion.
Uses appropriate judgement when responding to the needs of senior level directors both internally and externally.
Shows initiative in taking action and responding appropriately.
Adopts a flexible approach to work.
Ability to multitask and prioritise tasks.
Has an excellent telephone manner and interpersonal skills to deal with a wide variety of people and clients.
A cheerful and positive attitude is essential as is a genuine enthusiasm for the work that will be undertaken.
