Job Overview:
We are looking for an organized, proactive Executive Assistant to help manage day-to-day tasks and operations. Since this role requires close collaboration with the executive, it's important to build a strong, positive working relationship based on mutual respect and understanding.

Key Responsibilities:
Coordinate the day-to-day activities of a small, specialized office.
Supervise a small administrative team to ensure smooth operations.
Liaise between the executive and other collaborators.
Liaise with authorities as needed.
Track and manage deadlines to keep everything on track.
Help with basic-level purchases, accounting, and manage small budgets.
Manage and maintain calendars, including scheduling meetings and travel arrangements.
Handle communications like emails and phone calls on behalf of the executive.
Prepare reports, presentations, and documents when needed.
Conduct research and provide relevant information for decision-making.
Organize meetings, events, and other engagements.
Assist in managing a website and social media accounts as needed.
Handle personal tasks and projects.
Qualifications:
Language Skills: Fluent in English, Spanish, and Catalan (required); French or other languages are a plus. (Certificates are not necessary—your actual level of fluency matters.)
Tech Savvy: Comfortable working in an Apple environment (Mac, iPhone, iPad apps).
Organizational Skills: Great at juggling multiple tasks and keeping things organized.
Communication: You write well and communicate clearly.
Project Management: Experience with project management or confidence to take on small projects.
Math and Budgeting: Not afraid of basic math, accounting, and managing small budgets.
Eagerness to Learn: Curious and eager to learn—enjoys figuring things out independently.
Personable: Friendly and approachable with a customer-oriented mindset.
Problem-Solving: Strong interpersonal skills and the ability to manage and resolve conflicts effectively.
Discretion: Able to handle confidential information with trust and integrity.
Loyal and Committed: Dedicated to supporting the executive's personal and professional success.

Reporting Structure:
The Executive Assistant will report directly to the executive and oversee a small administrative team. You will also act as the main point of communication between the executive and other collaborators. The role includes liaising with authorities as needed.
