Position Overview: We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our 24/7 maritime surveying team. In this role, you will manage email communication, accurately invoice clients, and support global operations by efficiently directing inquiries and tasks to the appropriate account managers. This role demands adaptability, professionalism, and a willingness to handle occasional urgent email responses outside of standard business hours. Key Responsibilities: Email Management: Efficiently review and sort a high volume of emails, directing messages to the correct account managers for timely follow-up and action. Invoice Processing: Process invoices by reviewing email quotes and accurately billing clients, ensuring all details are precise and records are up to date. Global Communication: Maintain clear and professional communication across our global team, ensuring seamless collaboration across different time zones. Organizational Support: Provide additional administrative assistance as needed, supporting a team that operates around the clock. Learning and Development: Show initiative in continuously developing skills, adapting to industry practices, and growing within the company for long-term success. Qualifications: Strong proficiency in English (written and verbal). Previous experience in a similar administrative or executive support role. Proficiency in Front, Gmail, and Sage or similar invoicing/accounting software. Exceptional organizational skills with acute attention to detail. Ability to work independently in a fast-paced, global environment. Flexibility to respond to urgent communications outside of standard business hours. Nice-to-Haves: Experience managing large volumes of communication. Background in client management and invoicing. Positive, team-oriented attitude with a willingness to adapt to changing needs.
