You will play a pivotal role in ensuring the smooth and efficient operation of the executive office by managing schedules, communications, and administrative tasks while contributing to the company's overall success. ESSENTIAL DUTIES AND RESPONSIBILITIES:Manage complex calendars and scheduling for leadership, including coordinating meetings across multiple time zones.Organise international travel arrangements, accommodation, and itineraries, ensuring a seamless experience.Serve as a gatekeeper for incoming communications, handling inquiries and redirecting them as needed.Prepare and edit presentations, reports, and other documents for meetings and strategic planning sessions.Coordinate and attend key meetings, taking minutes, following up on action points, and ensuring timely completion of tasks.Support event planning for company-wide gatherings, conferences, and leadership retreats.Foster positive relationships across all departments, acting as a liaison between the executive team and other stakeholders.Organisation of company celebrations, internal events & meetings.Creating travel expense reports for the management. KNOWLEDGE, SKILLS AND ABILITIES:Proven, professional experience as an Executive Assistant, or in a similar administrative role, ideally in an international and fast-paced environment.Strong organisational and time-management skills with the ability to prioritise and multitask effectively.Excellent written and verbal communication skills in English and Spanish.High level of discretion and confidentiality when handling sensitive information.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).A proactive, problem-solving mindset with a positive, can-do attitude.Italian language is a huge plus.
