We are seeking a highly organized and detail-oriented Event Project Manager to lead the planning, operations, and execution of a wide range of events, including conferences, exhibitions, and corporate events. RESPONSIBILITIES:
Lead the planning and execution of events from concept to completion, ensuring all aspects of venue, logistics, exhibition, registration, production, and operations are coordinated seamlessly.
Collaborate closely with partners to understand objectives, expectations and requirements.
Manage project timelines and schedule.
Manage and coordinate event logistics, including venue and contractor sourcing and contracting, including site visits (as needed).
Supplier/vendor contracting and coordination including Audiovisual production and IT requirements.
Coordinate exhibition logistics, including booth design and production, setup and coordination of sponsors and exhibitors.
Plan and manage creative and social events including design, branding, signage, staging, layouts, etc.
Manage event registration, including online registration platforms, attendee communication, payments and invoicing, accommodations, transportation, and on-site registration support.
Event App project management and development with team and suppliers.
Event budgeting and financial management.
On-site event management and operations, including overseeing event staff and vendors to ensure smooth operations according to plan.
Conduct post-event reporting and evaluation, gather feedback and identify areas for improvement.
Communication and coordination with internal supporting departments, partners, external suppliers and participants in relation to the events.
Plan/prioritize tasks for work schedule.
Execute and deliver events to the highest quality and level of service, according to company standards.
Anticipate and resolve issues throughout the event planning and execution process, identify solutions and ensure successful outcomes.
REQUIREMENTS:
Well organized and detail-oriented;
Excellent time management skills, ability to manage multiple projects simultaneously (4 projects simultaneously) and meet tight deadlines.
Availability to work evenings, weekends, and travel as required for event planning and on-site execution.
Travel abroad few times per year for a few days up to a week.
Strong interpersonal and communication skills, with ability to effectively collaborate with partners, vendors and internal stakeholders.
Motivated with ability to work independently and as part of a team.
Flexible, adaptable and a positive attitude.
Creative and problem-solving abilities.
Service oriented.
EDUCATION & EXPERIENCE:
Bachelor's degree – advantage;
Minimum 2-3 years' professional experience in event management; with a strong track record of successfully executing a variety of events.
Certification in event planning or project management (e.g., CMP, PMP) – advantage.
Experienced in exhibition design and management – advantage.
Previous experience in budget management.
English and Spanish– fluent – professional/mother tongue level, verbal and written;
Excellent computer skills, including Microsoft Office (Word, Excel, PowerPoint), Outlook, etc.
