We are seeking a highly organized and bilingual (English and Spanish) Assistant to support the preparation and organization of our upcoming 2-day corporate conference scheduled to take place in mid-December in the city of Málaga.
The ideal candidate will help with various pre-event tasks in our Marbella office.
You will be joining the Office of the CEO and will be reporting to his Executive Assistant. This is a temporary contract position for up to 2 months. European Union's legal working status is required.
Key Responsibilities
As an Event Organizer Assistant your main goal is to ensure that no details are overlooked and that the Event Organiser has everything she needs to deliver a successful event.
You will support the planning and execution of the annual event by handling administrative tasks, coordinating logistics, and liaising with vendors.
Assist with scheduling, managing RSVPs, arranging catering, and sourcing equipment.
On event day, help with setup, guest registration, and troubleshooting, ensuring everything runs smoothly.
Assist in the development and finalization of the event agenda.
Assist with the internal communication leading up to the event.
Arrange and coordinate transportation logistics for the event.
Prepare merchandising packages for distribution and coordinate with the transport company for pickup and delivery.
Collect event materials from local suppliers and ensure accuracy, quality, and quantity.
Assist in ensuring all activities stay on schedule by providing real-time updates.
Provide support during the event, including guest registration and troubleshooting any issues.
Assist with the breakdown and collection of event material after the summit.
Qualifications
Fluent in both English and Spanish (spoken and written).
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Attention to detail and problem-solving abilities.
Physical ability to lift and carry materials as needed.
A valid driver's license and a car is required to pick up event supplies.
