Your field of responsibility The main purpose of the role is to provide high quality support for a team of senior bankers, including MDs & Ds.
Phone Coverage: Extensive telephone coverage, ensuring all bankers and other assistants' phones are answered confidently and covered at all times. Screening calls and mails, respecting confidentiality of content.Calendar Maintenance and Meeting Planning: Complex diary management and meeting co-ordination (including conference and Zoom calls) with both internal and external clients - ability to juggle calendar at short notice and proactively manage scheduling conflicts. Exhibit knowledge of group and banker client base, building relationships with clients' assistants.Extensive travel arrangements: Preparation of detailed itineraries, including visa arrangements and ensuring adherence to all firm policies.Expense Management: Coordination of expenses adhering to all firm policies, including G&E;, and ensuring that Amex bills are reconciled in a timely fashion. Invoice processing using CS tool and adhering to all firm policies.Word Processing/Presentation Creation: Preparation of PowerPoint presentations, occasionally from scratch, or making amendments.General Administrative Support: Faxing, photocopying, arranging couriers and taxis, filing (for principals and department), running administrative errands, liaising with administration/operations departments to address equipment needs or issues. Printing & binding presentations (where required regionally).Banking Tools: Spider administration (call reports, updating project information etc., expense transfers). Salesforce.Additional Responsibilities: Covering other assistants' roles as necessary, e.g. when they are out of the office. Undertaking ad hoc projects and other responsibilities as required.Your future colleagues: Join a highly motivated team. Your skills and experience: Good basic education (A Level preferred).Secretarial College desirable, but not essential.Banking/Blue chip experience preferred but not essential.Solid secretarial skills base.Excellent Microsoft Office skills, including: Word, PowerPoint, Excel and Outlook.Accurate and quick typing skills with keen ability to proofread work.Basic understanding of Private Banking.Other requirements:High attention to detail in every aspect of work; a sense of personal responsibility and pride in one's work.Positive attitude: 'Can do' approach; pleasure to do business with.Flexible: re tasks, hours, work allocated.Maintain a professional appearance and business-like manner at all times.First class communicator; written and spoken.Well-developed interpersonal skills: ability to relate to wide range of individuals at all levels and establish good relationships.Excellent organisational skills: ability to plan, prioritise and organise work so that it is efficient and effective.Ability to analyse problems and to identify potential solutions using sound judgement.Self-aware and willing to learn.A willing team player who plays a constructive role as member of a team, prepared to "muck-in" where necessary.Ability to cope under pressure and not cave-in; remain focused on main objectives.A willing team player but also strong and confident in own abilities.Must have a robust nature, determined to succeed and looking for success, involvement and hard work.Your new employer: Find a new home for your skills, ideas, and ambitions.
