Your field of responsibility The main purpose of the role is to provide high quality support for a team of senior bankers, including MDs & Ds.
Phone Coverage: Extensive telephone coverage, ensuring all bankers and other assistants' phones are answered confidently and covered at all times. Screening calls and mails, respecting confidentiality of content.Calendar Maintenance and Meeting Planning: Complex diary management and meeting co-ordination (including conference and Zoom calls) with both internal and external clients - ability to juggle calendar at short notice and proactively manage scheduling conflicts. Exhibit knowledge of group and banker client base, building relationships with clients' assistants.Extensive travel arrangements: Preparation of detailed itineraries, including visa arrangements and ensuring adherence to all firm policies.Expense Management: Coordination of expenses adhering to all firm policies, including G&E;, and ensuring that Amex bills are reconciled in a timely fashion. Invoice processing using CS tool and adhering to all firm policies.Word Processing/Presentation Creation: Preparation of PowerPoint presentations, occasionally from scratch, or making amendments.General Administrative Support: Faxing, photocopying, arranging couriers and taxis, filing (for principals and department), running administrative errands, liaising with administration/operations departments to address equipment needs or issues. Printing & binding presentations (where required regionally).Banking Tools: Spider administration (call reports, updating project information etc., expense transfers). Salesforce.Additional Responsibilities: Covering other assistants' roles as necessary, e.g. when they are out of the office.
