Responsibilities: Your role as Executive Assistant to the Dean will involve:
Organizing Meetings, Events, and Business Travel: Managing the agenda and Schedule of the Dean, including appointments. Arranging travel, visas, accommodation, and other logistical matters. Screening phone calls, inquiries, requests and managing them accordingly. Welcoming and hosting guests of all levels of seniority. Prepare materials for meetings, take minutes, and follow up on action items. Managing Business Communication: Managing incoming visits, calls, emails, and mail, prioritizing communications based on urgency and importance. Liaising with clients, suppliers, and internal teams. Managing internal communications, ensuring a seamless flow of information. Developing and Translating Complex Documents: Producing and translating documents, reports, presentations, and briefing papers. Working with MS Word and Excel for document processing and data management. Provide support for virtual meetings and remote collaborations. Manage sensitive information discreetly and securely. Coordinating with other departments: Coordinating with other departments to ensure adherence to policies and decisions. Submitting and reconciling expense reports. Performing other tasks to support the day-to-day running of the office of the Dean when needed. Cultural Sensitivity and Adaptability: Work effectively in a multicultural environment, demonstrating awareness and adaptability. Qualifications: Executive Secretarial Assistance studies or equivalent. Proficiency in both written and spoken English and Spanish. Discretion and a strong understanding of confidentiality. Excellent organizational and time management skills. The ability to prioritize and manage multiple tasks with attention to detail. Willingness to work extra hours to meet deadlines when necessary. Strong communication, negotiation, and interpersonal skills. Ability to work well under pressure. Enthusiastic, team-oriented, and driven to make a meaningful impact. Strong research, analytical, and presentation skills. Proficiency in word processing and IT, including knowledge of various software packages. A valid EU work permit.
