About the Department of Foreign Affairs and Trade The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional and bilateral interests.
About the Position The Consular/Passports Officer and Receptionist position sits within the Consular and Passports Section. The position reports to the Consular and Passports Manager and assists with providing consular and passport services to Australian citizens in Spain, Andorra, and Equatorial Guinea. The position will at times manage the Embassy's telephone switchboard, email, and mail services.
Key responsibilities of the position include but are not limited to: Provide high-quality and timely client-focussed consular and passports services, including providing advice, resolving issues, performing notarial duties, processing passport applications, and assisting Australian citizens in need of consular assistance.Manage various Embassy email accounts, including responding to client enquiries.Provide high-quality reception services, including managing phone enquiries, maintaining phone directories, managing mail services, and attending to the reception counter and public spaces.Perform administrative tasks related to the ongoing provision of consular and passport services.Develop and maintain a strong network of contacts and working relationships that is relevant to the Department of Foreign Affairs and Trade divisions in Canberra, other embassies, local authorities, and the private sector that will contribute to the provision of high-quality consular and passport services.Contribute to crisis preparedness by assisting with contingency planning, consular response team training and assist with consular crisis responses at the Embassy.Qualifications/Experience Ability to contribute effectively as a member of a small team, including proven initiative, cooperation, flexibility, and reliability.Written, oral and interpersonal communication skills in English and Spanish, and an ability to communicate empathetically, clearly and simply with a variety of stakeholders from diverse backgrounds in-person, over the phone and in writing.Ability to set priorities and organise work effectively and efficiently, and complete tasks and projects with limited supervision.Ability to perform general administrative and processing activities.Ability to interpret and apply legislation, policies, guidelines, and instructions to perform duties to a high standard.Working knowledge of Microsoft Office products.Willingness and availability to work out of hours, with appropriate compensation, and undertake travel throughout Spain and Europe.Selection Criteria In your written statements, you must include relevant examples from your experience that support your claims against the role.
