Job Description As Compliance Operations Specialist, a key member of Galderma's Ethics & Compliance team, you will play a critical role in maintaining and further advancing Galderma's Compliance Program. In this Compliance Operations role, your work and responsibilities will cover a broad range of diverse compliance-related activities primarily emanating from Galderma's policies and procedures and related tools and systems.
Based in Barcelona, Spain you will report to the Lead, Compliance Operations based in Switzerland.
Key Responsibilities Tools and Systems Serve as a key contact point and administrator for certain compliance tools, systems and platforms, including Galderma's Speak Up Hotline, Compliance Risk Management Platform and e-Document Management System (eDMS)Develop, organize and deliver trainings on such systems to relevant audiencesSupport implementation projects of new fit-for-purpose tools, ensuring user-friendliness and compatibility with existing tools and Galderma's ways of workingReporting out of relevant data from such tools and systems to key function and business stakeholders Training Operations As a 'super-user' for Galderma's Learning Management System (LMS), manage all global Legal & Compliance trainings in the LMS, including the setup, testing, assignment and maintenance thereofManage completion tracking of global e-trainings, including follow-up with non-completers, and the reporting of completion rates for ESG and other management reporting purposesSupport subject matter experts within the Legal & Compliance function (SMEs) in the development of new compliance e-trainings and other training formats, coordinating between vendors and internal contributors as well as translations and reviews thereofManage the Compliance Training mailbox and coordinating/providing LMS user support Policies & Procedures Establish and manage a central Compliance policy repository, including an inventory and responsibility for initiating revisions as indicated by changes or end of lifecycleSupport SMEs in establishing new and revising existing policies and procedures, including arranging for translations and reviews thereof as well as formattingEnsure that Compliance policies & procedures are published on eDMS as well as on relevant internal channels Project Management & Workstream Support Play a key role in the support and execution of critical workstreams including compliance risk management, global and local monitoring, third party risk management and the quarterly convening of Galderma's Global Risk & Compliance Council and its regional equivalentsProvide project support to SMEs as required Collaboration & Engagement Manage shared mailboxes including the distribution of requests to relevant SMEs and communication back to stakeholdersOversee and manage internal Ethics & Compliance customer facing documents and materials (i.e., org charts, contact lists, distribution lists, etc.) ensuring that same are appropriately maintained, up to date and published through relevant internal channelsPlay key role in engaging with and serving as appoint contact for Galderma's Compliance Network across 40+ countries, including regular communication and organizing and preparing meetings and workshopsAssist with and proactively drive global and regional communications on specific matters so as to raise appropriate awareness across the organization Skills & Qualifications A relevant Bachelor's Degree is requiredProficiency in English (written and oral)5+ years of legal, compliance or equivalent business experience in a global role (preferably working in or on behalf of a healthcare company) having gained substantive exposure to, and a knowledge and understanding of, healthcare compliance mattersExperience of operating in an in-house legal and/or compliance department environment, applying high levels of precision and diligence in work productsExcellent oral and written communication skillsExcellent strategic thinking and coordination skillsStrong IT skills with the ability to get up to speed with new tools fastSelf-starter mentality, solution-oriented and with a high level of proactivityAbility to adapt quickly to a constantly changing environmentProfound project management skills an advantageExperience in working in complex matrix organizations an advantage What we offer in return You will be working for an organization that embraces diversity & inclusion and believe we will deliver better outcomes by reflecting the perspectives of our diverse customer base.You will receive a competitive compensation package with bonus structure and extended benefit package.You will be able to work in a hybrid work culture.You will participate in feedback loops, during which a personalized career path will be established.You will be joining a growing company that believes in ownership from day one where everyone is empowered to grow and to take on accountability.
