As an Administrative Operations Coordinator at INFINIT, you will be a key support to the CEO and leadership team, helping to streamline administrative tasks, manage logistics, and ensure everything runs smoothly behind the scenes. You'll play an essential role supporting business operations with organization, precision, and a "get things done" attitude.
What do we want to achieve together? Administrative Efficiency: Manage bookings, track and report expenses, handle Excel-based tasks, and organize schedules and logistics to ensure seamless operations. Assist with travel arrangements, prepare itineraries, and manage document filing.Operational Support: Proactively anticipate challenges and offer creative solutions to simplify the CEO's workload. Facilitate communication between teams, manage daily priorities, and prepare updates or summaries for the CEO.Office Management: Oversee office supplies and ensure the workspace is well-maintained. Coordinate with vendors for office-related needs, including equipment maintenance and facilities management. Organize team events and support with onboarding logistics for new hires.Minimum Requirements: Education: A Bachelor's degree, diploma, or equivalent.Experience: At least 1 year in a similar role or relevant experience.Languages: Fluency in English is required; proficiency in French or Spanish is a plus.Technology Savvy: Familiarity with SQL, Notion, Excel and basic administrative tools is beneficial (but even more important is your eagerness to learn and grow).Communication Skills: Clear communication and strong follow-through are part of your work style; you're organized, dependable, and responsive.Proactive Mindset: You're self-motivated, results-driven.
