**Job Requirements:** - Hybrid position.
3 working days required at our Madrid office.
- Manage and confirm reservations using the VOSAIO booking system for transportation, restaurants, and attractions.
- Handle incoming mail and respond to customer inquiries, meeting their expectations.
- Coordinate with the operations department to ensure timely and quality service delivery.
- Check availability, assign spaces, and confirm bookings with suppliers, ensuring all confirmations are properly archived.
- Inform operations department of any changes, such as fully booked dates or closures, and arrange alternatives.
- Process cancellations and modifications, and communicate updates to relevant departments.
- Participate in fam trips to gather information about new destinations and services.
- Provide the quotation department with pricing and service details as needed.
- Source new suppliers, negotiate group rates, and maintain competitive pricing for contracted services.
- Update product and supplier information in the VOSAIO system.
- Ensure all final booking details are accurate for smooth execution.
- Verify supplier invoices match the booked service prices.
- Collaborate with the accounts department on Pro-forma invoices for pre-booked services.
- Handle complaints, offering solutions to maintain client satisfaction.
- Be willing to take on additional tasks as requested by management.
- Communicate clearly and effectively in both the native language and a foreign language, especially verbally.
