Overview of Role The Administrative Assistant will be responsible for providing general administrative support and we aim to have the selected candidate start by October or November 2024.
Responsibilities Supervise and communicate daily operations with the local custodian bank and ensure their proper execution / settlement. Identify possible gaps between the custodian bank and the Portfolio Management System (cash and securities accounts). Perform monthly controls on stock market transactions in line with MIFID regulation. Initiate incoming asset transfers and ensure correct booking execution (historical prices, FX rates, FIFOS). Support the investment team with day-to-day tasks and monitoring the investment universe. Provide periodic support for the compliance team and production of regulatory reports for audit and third parties. Responsible for the precise follow-up of the tasks listed above and for reminding the parties involved if necessary. Inform the Management and relevant parties about any difficulties, errors, delays in the execution of operations or operational risks. Handle day-to-day work challenges confidently, adjust to multiple demands, define and instruct priorities, demonstrate flexibility. Ensure compliance with internal, local & international regulations and procedures. Be open-minded and available for other administrative necessities that may arise. Education and Qualifications Commercial or High School degree, bank apprenticeship or similar. Experience, Skills and Competencies Required Experience in a similar role within the banking sector of minimum 2 years (back-office, middle-office, securities, operations, etc.). Fluent in English and Spanish (both written and spoken) is a must. Proactive attitude with the ability to demonstrate initiative, attention to detail and reliability. Proficient in MS Office (Word, Excel, etc.). Team player, reliable and accurate. Ability to manage paperwork in an organized way. Common sense, good communication and solution-oriented attitude.
