The European School of Economics Madrid is looking for an Academic Coordinator to join the team!Tips and proceduresACTIVITIES IN THE BEGINNING OF EACH TERM (September, January, April)Creating the schedule of classesCreate and print an attendance sheet for every module and professorSpecial Study Plans for tailor made short courses; Special Study Plans for BSc and MSc students carrying IFs.Portal settings - assigning the courses to the studentsESE STUDENT PORTAL - Student's profilesThe Student Services Officer is responsible for creating all student's profiles and adding student's personal data and documents.The AC is supposed to verify and keep updated the academic information and documents (the last approved Progression Report should be uploaded after every Academic Board). Furthermore, before the beginning of every term, the AC needs to enroll every student into the business modules, workshops and languages modules as per his/her programme.ESE STUDENT PORTAL - CommunicationThe Academic Department must post on the Portal all general information/communications on the "news section" of the Portal such as:SchedulesReschedulingClasses cancelledAssessments calendarsAssessments guidelinesTurnitin codes for papers submissionsReminder for deadlinesMONITORING CLASSESStudents attendance: Lecturers have to record student's attendance on the attendance sheet prepared by the Academic dept. Attendance needs to be checked at the end of every week and warning is to be sent to students exceeding the maximum ABS allowed. MINIMUM OF 80% of presence per module needed in order to be admitted to final exam, otherwise the student will have to take the resit and pay the resit fee.Late arrivals: Students are requested to be in class on time.Absent students: In special cases, students can ask for abs justification providing a medical certificate or other valid evidence to the academic department.Changes of the schedule: ESE has to inform the students officially by posting "news" on the Portal.MONITORING LECTURERSLecturers are not autonomous: they have to be coordinated by the academic office.LECTURERS CANNOT DELIVER GUIDELINES OR ASSESSMENTS; THIS MUST BE DONE BY THE ACADEMIC DEPARTMENT on the portal according to the instructions of the Head of Academic Coordination.LECTURERS CANNOT RESCHEDULE CLASSES AUTONOMOUSLY; THEY MUST INFORM THE ACADEMIC COORDINATOR, who will verify the available slots and will post the RESCHEDULING news on the portal, along with info about the make-up class (if possible).Late arriving lecturers must be at school on time.Module leaders contacting lecturers and vice versa - follow-up if module leader/your lecturer is in touch with the other campuses lecturers to run the course in synchro with all ESE campuses (lesson plan in the beginning of the term, sharing info about minors and finals).Lecturers should upload the lesson plan, slides and other additional materials on the Portal, module document section to check weekly.LECTURERS or the ACADEMIC DEPT are not allowed to deliver grades to students before they are approved (nor orally, nor in writing).UG: Lecturers can share in class PROVISIONAL results for minor assessments. Students failing would need to recover with re-sit or resubmission within the following 2 weeks.PG: Lecturers MUST NOT share results for midterm assessments with students. PG modules are component based; therefore, both assessments must be "PASS" in order to successfully complete a module.MONITORING ASSESSMENTSThe academic office has to guarantee the respect of regulations and standards during exams and after exams grading.All exams/paper must be evaluated by the lecturer within 1 week after the test and reviewed by another lecturer right after (Moderation).Students cannot skip assessments: if a student is absent or misses to submit a paper by the deadline, you have to follow-up and check with the HAC on how to proceed.PROJECTS: All take-home assignments/projects must be submitted on TURNITIN.COM. The AC is responsible for creating the Turnitin Master class, then the section and the assignment where you can invite the lecturer so that he/she can correct digitally. Papers with a higher plagiarism rate cannot be graded; the student must resubmit an amended version in 3-4 days max.All grades need to be recorded on the Portal as soon as papers are graded (MINOR-FINAL assessments).MONITORING BSc FINAL PROJECTS & MSc DISSERTATIONS: Make sure that students are in contact with the Tutor and that are getting guidance on their work.
