We are seeking a highly dedicated and resourceful assistant to support a serial entrepreneur innovating at the intersection of technology and finance. This individual must be an excellent project manager capable of navigating both personal and business domains with efficiency and discretion.
The successful candidate will be fluent in English, Italian and Spanish. Huge bonus if also proficient in Mandarin Chinese. Although this person will likely be based in Milan or Madrid, it is a perfect role for those who love to travel. Finally, those with design backgrounds will be given priority.
What you will be working on:
Personal Management
Organize and manage the CEO's personal schedule, including travel arrangements, appointments, and social events.
Handle personal errands, including shopping, household management, and coordination with household staff.
Assist in maintaining a healthy work-life balance by managing personal commitments and family engagements.
Business Management
Provide high-level administrative support, including managing calendars, scheduling meetings, and preparing necessary documentation.
Serve as a liaison between the CEO and various stakeholders, including business partners, employees, and clients.
Conduct research and provide insights on business ventures potentially in tech, real estate, and agriculture.
Project Management
Oversee and coordinate multiple projects across different business domains, ensuring timely completion and alignment with strategic goals.
Develop and implement project plans, monitor progress, and provide regular updates.
Identify potential issues and develop contingency plans to ensure projects stay on track.
Communication
Draft, review, and manage correspondence, reports, and presentations.
Facilitate clear and effective communication within your manager's network, including translating documents and conversations when necessary.
Ensure confidentiality and handle sensitive information with the utmost discretion.
Travel Coordination
Plan and coordinate extensive travel itineraries, including flights, accommodations, and ground transportation.
Ensure seamless travel experiences by anticipating needs and resolving any travel-related issues promptly.
About you:
Language Proficiency: Fluent in English, Italian, and Spanish; proficiency in Mandarin Chinese is highly desirable.
Education: Bachelor's degree or higher in Business Administration, psychology, design, or a related field.
Experience: Minimum of 3-5 years experience as an executive assistant or in a similar role supporting high-level executives.
Exceptional organizational and multitasking abilities.
Strong project management skills with a track record of managing complex projects.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite and project management software.
Ability to adapt to changing priorities and work effectively under pressure.
Discreet, trustworthy, and able to handle confidential information with integrity.Will be a plus:
Willingness to travel frequently and adapt to various time zones.
Strong understanding of cultural nuances across Europe, the US and Asia.
A proactive, resourceful, and problem-solving mindset.
