Job Title Personal and Department Assistant Summary of the role The Personal and Department Assistant is responsible for handling the administrative needs of all executives, facilitating the workflow of the business, and maximizing productivity.
This role also provides assistance to different teams to ensure the smooth running of the assigned departments.
The ideal candidate should have previous experience in multinational companies, providing executive support and collaborating with diverse teams.
They should have the ability to prioritize tasks and work independently in a dynamic work environment, being self-motivated and possessing strong organizational skills.
Your main responsibilities Executive Management Support: Manage the Director's calendars, coordinating meetings and appointments, and resolving scheduling conflicts across different time zones.
Organize travel arrangements and complete expense reports.
Organize meetings and logistics.
Prepare presentations, reports, correspondence, data analysis, etc.
Work with complex spreadsheets and create compelling PowerPoint presentations.
Team and Department Assistant: Manage team event planning and coordination.
Assist with back-office tasks or any other administrative requirements to ensure maximum efficiency and productivity.
Coordinate the team's administration.
Office Administration and Coordination: Welcome guests and visitors at all levels of seniority.
Coordinate requested logistics for meetings inside premises.
Devise and maintain office systems, including data management.
Handle correspondence, post, and packages.
Manage office logistics, monitor, and request office supplies.
Manage purchase requests and purchase orders for the Departments in accordance with Amadeus Procurement Policies and Procedures.
Monitor invoices and ensure timely payments to vendors.
About the Ideal Candidate Relevant experience as a Personal Assistant (PA) or Executive Assistant (EA) in multinational companies, working with diverse teams in different regions.
Highly motivated, self-motivated, with a collaborative mindset, and strong organizational and planning capabilities.
Ability to understand and support the company's strategic objectives, maintaining discretion and confidentiality.
Strong MS 365 skills, including advanced MS Excel and PowerPoint, and proficiency in English (verbal and written).
Spanish, French, or German would be an asset.
Strong interpersonal and communication skills, detail-oriented, and problem-solving attitude.
Flexibility and adaptability to work in a dynamic, changing environment, and ability to work cooperatively with others as an effective collaborator.
