Our client is an International Consultancy Firm that provides support services for GDPR compliance. They are part of a commercial legal process outsourcing team serving local and multinational companies. They are based in Europe, America, and Asia and work with a network of responsive partners covering most geographical areas.
ABOUT THE ROLE:
We are looking for an International Executive Assistant to provide administrative and technical support to the Data Protection Department in Barcelona. You will have a period of training on data protection regulations (GDPR, LGPD, POPIA, CCPA, Virginia Consumer Data Protection Act...).
SPECIFIC RESPONSIBILITIES:
Initially, participate in regular meetings via video conference with managers of different departments in all the clients' companies.
Facilitate meetings to support clients in their process of compliance with the regulations in force. The level of language must be very professional and the vocabulary relating to the legal terminology used accordingly.
The candidate will be required to train the clients in the use of the software.
Writing invitations to meetings and emails in a professional level of language.
Reviewing written documents, checking for accuracy and content requirements.
Updating the Action Tracker, following up on new information provided by the manager.
Take notes during meetings and take minutes of meetings.
Maintain mandatory records and prepare audit questionnaires.
Compile relevant information, prepare summary reports, and create statistics.
Transferring databases from Excel spreadsheets to company software.
Monitor performance indicators and produce regular reports of risk assessments.
WORK EXPERIENCE / SKILLS REQUIREMENTS:
At least three (3) years of experience as an executive assistant.
Knowledge of law and data protection regulations is a plus.
Demonstrated knowledge of current computer technologies and software applications appropriate to the job responsibilities: Excel (pivot tables and statistical charts) Power Point: creation of documents for statistical presentations.
Strong written and verbal communication skills.
Spanish, French, and English knowledge.
Ability to multi-task.
Cross-cultural knowledge in dealing with international clients.
Knowledge of B2B relations.
Organised, goal-oriented and positive attitude.
A keen eye for detail is essential.
Patience, empathy and pedagogy.
Team spirit and motivation.
Discretion and discernment.
Be able to adapt to complex communication situations and be comfortable in discussions with executives of multinational companies.
The candidate must be autonomous and organised and will be required to travel to carry out audits at our clients' sites or to participate in meetings at other sites.
