We are looking for an experienced and motivated Executive Assistant to join our multidisciplinary science and engineering start-up. QMENTA has developed an advanced solution for medical imaging data aggregation, standardization, and advanced quantitative AI processing.
The system is used in Research, Clinical Trials (Pharma & Biotech), and Clinical Care (Patient Treatment) worldwide.
We are a fast-growing startup and in the past 9 years, we have expanded our business globally, serving hospitals, research centers, and pharmaceutical companies in the US, Europe, and elsewhere.
You will be working with the President (70%) and CEO (30%) to help with the organization of the company as well as their personal matters as needed.

The main tasks will be to:
Schedule and coordinate meetings
Organize events and collaborate with different departments in the organization
Book travel arrangements and help congress travel arrangements
Order office supplies and support with administrative tasks
Set the President up for success
Maintain the home or personal life of the President
Handle personal and company information with confidentiality and data protection
Organizational tasks:
VIP visitors travel/ meetings/agenda/care
Internal and External calendar management for Cs (partners, clients, investors, etc)
Coordinate with colleagues for internal meetings
Event organizing and preparation - not conferences (charity events, team occasions, etc)
Executive Assistant to President:
Regular inbox check, clean, and follow - answer low priority mails, forward to others, flag and highlight urgent mails, chase on unfinished drafts
Create a daily task list of ongoing projects, new from inbox, and internal needs, chase and follow up until actions are complete
Internal and External calendar management - personal and professional
Follow up with colleagues on pending tasks for/from the President
Coordinate team, department, company personnel meetings (including OKR reviews, project management reviews, etc)
CRM management and update, add notes, follow up tasks
Meeting and documentation coordinating, sending NDAs, contracts for review and signing, note-taking
Personal admin and tasks
Required Skills & Experience:
Fluent English & Fluent Spanish. Native in English or bilingual is a plus
2+ years of experience in a similar role
A proven ability to exercise a high level of confidentiality and discretion
Open-mindedness, flexibility, cross-functionality, and adaptability
Resourceful, detail-oriented, results and solutions-driven, always prepared
Very good problem solving with ability to deliver to tight deadlines
Excellent administrative writing and verbal communication
Excellent organizational and time-management skills
Prior experience handling confidential, sensitive business information
