Job description: This is an executive support position to the CEO which performs a wide variety of highly responsible, detailed, and complex administrative tasks with minimal guidance.
Responsibilities:
Administrative Support: Manage the CEO's calendar, schedule meetings and appointments, and handle daily tasks. Coordinate travel arrangements, including flights, accommodations, and ground transportation. Prepare and edit correspondence, reports, presentations, and documents on behalf of the CEO.
Communication and Coordination: Serve as the primary point of contact between the CEO and internal/external stakeholders. Manage email and phone communications, responding to or escalating inquiries as needed. Coordinate and facilitate executive-level meetings, including board meetings and leadership conferences. Ensure follow-up on action items from meetings and communicate relevant updates to teams.
Strategic Support: Assist in research and preparation for important meetings and presentations related to logistics operations. Provide insights and assist in decision-making by gathering relevant data on supply chain trends and industry performance. Act as a project manager for special assignments initiated by the CEO.
Logistics and Supply Chain Operations Support: Understand the company's logistics operations, key performance metrics, and priorities. Collaborate with different departments (operations, procurement, sales, etc.) to streamline communication for the CEO. Monitor progress on key initiatives in logistics and report back to the CEO.
Confidentiality and Professionalism: Maintain discretion and confidentiality in handling sensitive company information. Handle legal and financial documents, contracts, and agreements with confidentiality and care.
Relationship Management: Build and maintain strong relationships with internal teams, clients, suppliers, and industry partners. Represent the CEO in meetings or events when necessary, ensuring that the company's interests are protected.
Task Prioritization and Problem Solving: Assist in managing the CEO's priorities by reviewing tasks and projects and ensuring deadlines are met. Anticipate the CEO's needs and proactively suggest improvements to workflows or strategies.
Financial Support: Track and manage the CEO's expense reports and company credit card reconciliation. Assist with budgeting and financial planning, tracking logistics-related expenses and contracts.
Travel and Event Coordination: Organize company events, executive off-sites, and external conferences that are critical to logistics operations. Plan travel itineraries that may include visits to distribution centers, clients, or global partners.
Crisis and Issue Management: Act as a point of coordination during logistics crises (e.g., supply chain disruptions), helping the CEO stay updated and respond swiftly. Provide real-time updates to the CEO on operational issues impacting logistics performance.
These responsibilities will help the CEO stay organized, informed, and focused on strategic decision-making, particularly in the fast-paced logistics sector.
