.The RoleHere at Amey we have an opportunity for a Contract Control Co-ordinator (Data Administrator) to join the team in Birmingham. This is a full time, permanent role. In this team we respond to reactive maintenance requests from 60 prisons around the UK. Your role will involve receiving and analysing quotes for repair work, challenging where required and seeking authorisation for the work to be undertaken. You will be adept with administration and IT skills (Excel and Outlook) and have a keen eye for details and deadlines. The role will be based at the offices behind HMP Birmingham,and after initial training we can offer a hybrid working model.DutiesDay to day coordination of the mailbox ensuring appropriate prioritisation while making sure that messages are actioned and filed correctly, are easily traced and auditable.Checking that cost estimates meet the required criteria, and challenging sites where more information is required.Sending approved cost estimates to the client team and providing / coordinating responses to any client queries relating to those estimates.Escalating challenges from both internal and external stakeholders in order to seek resolution.Prioritising work to ensure that high priority works are processed more quickly while still maintaining SLA on all requests.Following up on approvals internally and externally where there are delays in order to speed up approvals for sites to carry out works.Updating of client's contract management system - CEMAR for certain requests.Inputting data into excel tracker daily and updating the details as things change so that data is accurate and current.Running daily reports and exports from various systems to refresh the tracker each morning.Produce ad-hoc reports when needed.This will rely on use of VLookups and Pivot tables in MS excel.Support the wider Contract Control team with validating works completions as required to ensure that works can be applied for payment, and to ensure that sub-contractors can be paid on completion of works.ExperienceGood customer service skills to engage with various stakeholders in a positive way.Confident in challenging various stakeholders where information is missing or inaccurate.Process awareness - can follow and implement process.Good attention to detail to ensure that errors are kept to a minimum and any issues are identified and addressed satisfactorily.Positive attitude towards the client to ensure a high level of customer satisfaction.About AmeyWe're all originals here and our individuality is an asset.
