ABOUT THE ROLE & TEAM As a Bid Specialist, you will be at the heart of our global bid process and sales operations, playing a critical role in shaping winning bids and proposals that drive success for SITA's Aircraft Business.
Your expertise will ensure that every bid is meticulously crafted, ensuring the highest quality and responsiveness.
In this dynamic global role, you will engage across various levels of the bid process—whether you are coordinating efforts, providing specialized support, or managing entire proposals.

WHAT YOU'LL DO Global Bid Management Activity: Ensure that all relevant bid processes are followed as required from sales qualification to bid assessment, preparation, and business approvals.
Facilitate the "Global bid meeting" with the Account Manager and Bid team, ensuring that every step is strategically aligned to maximize the proposal's success.
Bring together the right experts with the necessary knowledge to seamlessly coordinate bid activities.
Ensure all client inquiries are thoroughly addressed and review customer documents to extract and share key requirements with the bid team.
Bid Support Activity: Create and maintain a concise bid schedule, ensuring all team activities are well-coordinated.
Oversee regular progress reviews of the proposal, keeping the team informed of any customer requests or updates.
Track critical structuring questions and assumptions, identifying potential risks and proposing effective mitigation strategies.
Lead the development and review of the final proposal document, ensuring it meets the highest standards.
Facilitate proposal strategy meetings with key stakeholders to craft compelling content, backed by customer and competitive analysis.
Manage stakeholder briefings, especially for complex customer deals, ensuring feedback is captured.
Oversee the seamless transition from contract negotiation to project delivery.
Proposal Management Activity: Ensure all proposal projects are delivered on time.
Work closely with the Bid team, Business Development Manager, and Account Manager to manage the proposal project effectively.
Compile and structure the technical, financial, and legal content of the bid, ensuring accuracy.
Produce the proposal project plan including risk analysis and contingency planning, to keep all activities on track.
Ensure a clear and consistent story throughout the proposal by reviewing and refining the content provided by contributors and Proposal writers.
Gather and analyze customer feedback post-submission to enhance future proposals.
ABOUT YOUR SKILLS Bachelor's degree in Business Management or a related field.
At least 5 years of experience in a commercial environment, ideally within IT, telecoms, air transport, or managed services.
A minimum of 2 years of experience in bids and proposals, with exposure to both purchasing and sales, including vendor-side involvement.
Clear understanding of Proposal management processes including pre-proposal planning, strategy development and storyboarding, and proposal writing skills.
Understanding of Bid management process including sales lifecycle.
Ability to thrive in a fast-paced, dynamic environment and manage competing priorities effectively.
Skilled at identifying and qualifying new business opportunities and presenting them to senior management to determine strategic pursuits.
Facilitation skills with the ability to assemble and inspire proposal teams, encourage creativity, challenge ideas constructively with a strong focus on cross-functional collaboration.
Ability to quickly build credibility and rapport with diverse business stakeholders.
Good purchasing empathy - able to identify customer drivers in RFPs.
